This page explains how Orbis collects and uses personal data. It applies to candidates, clients, prospective candidates and clients, and anyone who contacts the firm.

Orbis takes confidentiality seriously. Most of the work the firm does is unannounced, and the people involved expect their information to be handled with care. This policy reflects that.

Who we are

Orbis is an executive search firm based at 26 rue Bosquet, 75007 Paris, France. The firm acts as the data controller for the personal data described below. References to "Orbis", "we", "us" and "our" mean the legal entity operating the firm.

What data we collect

For candidates and prospective candidates, we typically hold name, contact details, current and previous employers, role history, publications, public commentary on professional matters, compensation expectations where shared, and notes from conversations. Most of this is gathered from public sources such as LinkedIn, company websites, conference materials, and published research. Some is shared directly by the candidate during a conversation.

For clients and prospective clients, we typically hold name, role, employer, contact details, and notes related to current or potential mandates.

For anyone who fills in the contact form, we hold the name, email address, and message provided.

We do not collect special category data (such as health, religion, or political views) and we do not ask for it. If a candidate or client volunteers such data in conversation, it is not retained.

How we use it

We use this data to identify and approach candidates for specific mandates, to maintain a longer-term map of the senior end of the AI and technology leadership market, to communicate with candidates and clients about live searches, and to respond to enquiries.

We do not sell data. We do not share data with advertisers or marketing platforms. We do not use the data for automated decision-making.

Why we are allowed to hold it

The legal basis for processing candidate and client data is legitimate interest. Executive search at this level requires the firm to maintain working knowledge of who is doing what, where, and at what stage of their career. The interests pursued are the firm's commercial activity and the operation of a functioning senior search market. We have considered the rights of the people whose data we hold and consider this processing proportionate to those interests.

For contact form submissions, the legal basis is consent, given by submitting the form.

Where data is stored

Personal data is held on standard commercial software used to run the firm. This includes a customer relationship management system, file storage, and email. Some of these tools are operated by providers based outside the European Union, including the United Kingdom and the United States. Where data is transferred outside the European Economic Area, we rely on the safeguards published by those providers, including Standard Contractual Clauses where required.

How long we keep it

Candidate data is retained for as long as the person remains relevant to the senior end of the market we work in, which is typically several years. Client data is retained for the duration of the commercial relationship and for a reasonable period afterwards. Contact form submissions that do not lead to a continued conversation are deleted within twelve months.

A candidate or client can request deletion at any time using the contact details below.

Your rights

Anyone whose data is held by Orbis has the right to ask what data is held, request a copy, ask for it to be corrected, ask for it to be deleted, ask for processing to be restricted, and object to processing.

Requests should be sent to ted@orbis-search.com. We will respond within thirty days.

If you are unhappy with how Orbis has handled your data, you have the right to complain to the relevant supervisory authority. In France, this is the Commission Nationale de l'Informatique et des Libertés (CNIL). In the United Kingdom, this is the Information Commissioner's Office (ICO).

Cookies

The Orbis website uses Squarespace as its hosting platform. Squarespace places a small number of cookies on visitors' devices for site functionality and aggregate analytics. The site does not use advertising or third-party tracking cookies.
